In the occasion where the next committee cannot be determined at the Annual General Meeting (AGM), a Special General Meeting (SGM) maybe called upon to elect a new committee. The procedure for this SGM will be the same as the AGM.

Sometimes an SGM may be called upon to help decide on a particular issue. In such instances a quorum of attendees will be required and a voting system will be used to determine the outcome, if applicable.

As per the constitution an SGM will be convened by the Secretary;

1. When so resolved by an AGM or at another SGM;
2. When the Management Committee decides;
3. When a meeting is requisitioned in writing by no less than 25 current financial members to the President or Secretary setting out the reasons for the meeting.

Prior to the meeting the Secretary must communicate:

• The date, time and place of SGM.

The Secretary also must;

• Convene the SGM within 28 days of the resolution or requisition reaching the President or Secretary;
• Email a notification of the SGM to each current financial member at least 21 days prior to the meeting. The notice shall indicate the date, time and place of the meeting and set out the business to be transacted;

The SGM;

• Shall have powers equal to those of the AGM in the transaction of business specified in the notice.
• Shall not transact in any business unless notice thereof has been given in accordance with these Rules.

The below agenda, at a minimum, is to be followed at an SGM.

2. Surah Fatiha recitation
3. Apologies
4. Business:

• Insert sub points for the purpose of calling an SGM

5. Conclusion of proceedings with surah recitation
6. Meeting terminated
